West Central District Minutes

Alexander County
Janet VanJaarsveld, State President presided over the meeting and installed the officers of the new West Central District Secretaries Association. New Officers are as follows:
President: Julie Campbell
1st Vice President: Fran Little
2nd Vice President: Sandy Kanupp
Secretary: Michelle Ham
Treasurer: Nancy Miller
President Julie Campbell called the business meeting of the North Carolina cooperative Extension Secretaries Association, West Central District, to order. A motion was made by Patsy Richardson to adopt the agenda. Brenda Street seconded. The motion carried.
Treasurer’s Report:
The former Southwest District carried a balance of $5,197l97 and $29.45 in a shared account. The former Northwest District carried a balance of $3,030.62 and $25.17 in a shared account. A motion was made by Fran little to accept the report. Sandy Kanupp seconded. Motion Carried.
Roll Call: 
President Julie Campbell did roll call: Alexander – 2, Alleghany – 2, Ashe – 2,
Unfinished Business:
There is no old business to discuss since this is the first meeting of the new West Central District.
Committee Reports:
President Campbell will submit a new committee list via e-mail on Monday to membership.
Special Committee:
Herter O’Neal Scholarships were sent to the State and a recipient has been chosen. The recipient was not from our district.
State Committee Reports:
Southern Regional Meeting
It was decided that each county would pay $100. The former Southwest District already sent in their $1400 for all the counties in their district. Surry County’s County Extension Director sent in their $100; they are the only county in the former Northwest District who sent their money in for the meeting. Sandy Kanupp made a motion that the West Central District treasury send in $100 for every county that has not already sent in their money for the Southern Regional Meeting. Denise Brown seconded. Motion carried.
New Business
Projects:
Sandy Kanupp made a motion to award the Secretary of the Year Award yearly at the fall meeting. Carol Horne seconded. Motion carried. Sandy Kanupp amended her motion. Motion is now to award Secretary of the Year award yearly in the spring instead of in the fall.
Scholarship – Sue Ward made a motion to continue with the Professional Improvement Scholarship. Cyndy Gustashaw seconded. Motion carried. We will vote on the amount at the fall meeting.
There was a lot of discussion on fundraising ideas. Sandy Kanupp volunteered to be a point person for fundraising ideas. She will send an e-mail with ideas. We will be hosting the State Meeting in 2011.
Benevolence and Retirement – Carol Horne made the motion for the Public Relations Committee to decide amounts and guidelines for the Benevolence and retirement gifts to be presented to the membership. Catherine Weddell seconded. Motion carried. Carol Horne amended her original motion to include the outgoing president’s plaque. Catherine Waddell seconded. Motion carried.
Community Service Projects were discussed. Cyndy Gustashaw made a motion that as the West Central District we establish community service projects. Joyce Dorsey seconded. Motion carried.
President Campbell will decide which will coordinate community service projects.
Meeting Order:
After discussion Nancy Miller made a motion to keep the meeting rotation in alphabetical order as in the past. Fran Little seconded. Motion carried. It was also decided that after Davie will be Fletcher. Sandy Kanupp said she did not mind hosting a meeting.
Fall Meeting invite:
Alleghany County will be hosting the Fall Meeting in October. A date will be announced.

After discussion, Sandy Kanupp said she would contact Rhonda Conlin or Scott McCollum to find out the details on our website and will report her findings back to the group.
Other:
Staff Senate ballots have been mailed. Please vote and mail them back. They are due back on Monday but some people are just now receiving their ballots. Go ahead and mail them in even if it is after Monday.
A special thank you to Alexander County for hosting the first meeting of the North Carolina Cooperative Extension Secretaries Association, West Central District. Everyone enjoyed getting to know each other followed by a delicious lunch and a productive business meeting.
