SPRING MEETING MINUTES

Norma Chrisawn, president, called the meeting to order. Norma introduced Carol Horne, NCCESA President and welcomed her to our district meeting. Norma asked Steve Duckett, Co. Ext. Director for Buncombe County to bring greetings. She also recognized Dr. Harvey Fouts, West District Extension Director, and asked him for comments.
Norma thanked Deanna Jordan and Joyce Plemmons for hosting the spring meeting. She also recognized Erin Freeman and Melissa Vaughn who had new babies. She also recognized Ivy Olson who had been ill and had returned to work. We all wished her well.
Norma asked if there were any additions to the agenda – no suggestions were made. Jane McDaniel, 1st vice president, gave the Thought for the Day. Janice Dotson, secretary, called roll. The following members were present: Tami Hagie, Kim Davis, Deanna Jordan, Joyce Plemmons, Donna Tulley, Karen Ball, Erin Freeman, Elaine Clamser, Debbie Goforth, Magen Caldwell, Jane McDaniel, Cheryl Mitchell, Maryann Mickewicz, Norma Chrisawn, and Janice Dotson.
A motion was made by Jane McDaniel to dispense with the reading of the fall meeting minutes, seconded by Donna Tulley – motion carried.
Deanna Jordan, treasurer, distributed treasurer’s report. The balance in checking effective 7/28/08 was $2,428.41. Income during this time period was $1,384.30, disbursements were $790.95 leaving a balance of $3,021.76 as of 4/28/09. The balance in our share account is $35.43. Deanna indicated that we did receive a check from the West District Ag. Agents Association in November 2008, but she did not deposit it not knowing if we would be hosting the 2010 state meeting. After discussion, the suggestion was made that Deanna contact the treasurer of the Ag. Agents Association and ask if we could deposit the check since, after discussion with Carol Horne, we will be hosting the state meeting in 2010. Motion was made by Donna Tulley and seconded by Elaine Clamser to accept the treasurer’s report – motion carried.
OLD BUSINESS
The 2008 4-H Scholarship was given to Buncombe County. A decision had not been made by the 4-H Agent and the secretaries on what the funds would be used for, but a decision will be made so it can be used during the summer months. Avery County will be given the 2009 4-H Scholarship.
Janice gave a report of the 2008 NCCESA Meeting held in Wilmington, NC. The West District was well represented with 8 members attending. Janice also gave a report on the first SRERSSA (Southern Regional Extension and Research Support Staff Association) meeting which was held at the Radisson Hotel at Opryland in Nashville TN. There were 3 secretaries from the West District who attended – Jane McDaniel, Debbie Goforth and Janice Dotson. Debbie was the West District recipient of one of the scholarships provided by the NCCE Foundation to attend the SRERSSA meeting.
An update for the 2010 State Meeting plans was given by Magen Caldwell and Jane McDaniel, Co-Chairs of the Planning Committee. The committee had visited 2 hotels in Asheville but since there were questions regarding the 2009 meeting, the planning committee did not make any commitments.
Carol Horne was asked to bring us up-to-date on the 2009 NCCESA State Meeting. The meeting will be held at NC A&T SU on September 18. The one-day meeting will combine two meetings into one (board of directors and business meeting) and will begin at 11:30 a.m. The Campus Chapter, which includes A&T secretaries, and the NCCESA Board of Directors will co-host meeting. The invitation will be sent out via email on June 12 to district presidents. Travel will be on-your-own. Lunch will be served (provided by Campus Chapter). The meeting should adjourn by 3:00 p.m.
The question was asked by our membership what we should plan for 2010 and Carol indicated we should plan for the same type of meeting schedule in our district. We should be getting more feedback from the 2009 meeting if we should have in West District or in a more central location. We discussed some of the plans – it was suggested to check for meeting space at the Mountain Horticultural Crops Research and Extension Center, Mills River (Janice will check for availability). We can use this space for no charge. The West District will issue an invitation for the 2010 meeting at the state meeting in September.
NEW BUSINESS
Committees met. Cheryl Mitchell, Nominating Committee, asked for nominations for district 2nd VP, secretary and treasurer. If you would like to nominate someone, please send name(s) to Cheryl by August 1. Also the state secretary and treasurer offices will be open for nominations from any district. Please contact Cheryl if you are interested or would like to nominate someone.
Herter-O’Neal Scholarship – Karen Ball, district 2nd VP, reported that West District had five nominations for this scholarship. The winner was from West Central District.
2009 Secretary of the Year Award will be presented at our fall meeting. Elaine Clamser will be chair of this committee.
Fall meeting will be held August 28 at the Mountain Horticultural Crops Research and Extension Center, Mills River. Avery County will send out refreshment notice. Transylvania County will be responsible for the door prize. Watauga County (per rotation) will be the recipient of our community service project. Norma will contact Susanne Winebarger and Kathy Lee asking for their suggestions.
Yancey County provided the door prize and Cheryl Mitchell was the winner.
With no further business, the meeting adjourned for lunch at Asheville Pizza and then a tour of Handmade in America.
